You can upload a wide variey of primary research data into CoLoop, using the import files button. You can choose from: To ensure better accuracy and unlock the full experience in CoLoop, we highly recommend uploading audio or video recordings rather than transcripts.

Audio and Video

Import Audio and Video

  • Upload all recordings in bulk to save time. CoLoop will process them in parallel.
  • Benefits of video and audio include seamless transcription and enables clipping features for deliverables

Transcribe

  • Select language (50+ supported, see here) or choose from four English variants (Global, US, UK, Australia).
    • IMPORTANT — Always transcribe the files in their original language. You can translate them into English later.
  • Specify the number of speakers (e.g., 1 moderator + 7 participants).
  • Optional features:
    • PII Redaction: Automatically anonymize terms like job titles or names.
    • Key Phrases: Add specific brand names or acronyms to improve transcription accuracy (e.g., “CoLoop”, “MS”, etc.).

Label Speaker

  • After transcription, CoLoop will auto-detect and label speakers.
  • Assign roles:
    • Researchers (moderators) in blue
    • Participants in green (only participants are included in final analysis)
  • IMPORTANT — Make sure all participant names are unique. Repeated names will prompt a merge warning.
  • You can rename speakers (e.g., “Participant 1”, “User A”) for anonymization.
  • If names are incorrect, use “Reset Transcript” to start over.
  • Advice on troubleshooting speakers names towards the end of the video.

Transcripts

You can upload transcripts into CoLoop for analysis, but please make sure they follow our formatting guidelines, or they won’t work properly. You can find those guidelines here. A few key things to keep in mind:
  • Each participant must have a unique name in the transcript. This ensures that the system can correctly attribute and organize the dialogue.
  • We highly recommend uploading audio or video if you have it. Our transcription and translation tools are accurate and fast, and using media will give you a much better experience.
  • With audio or video, you’ll unlock the full power of CoLoop—such as the ability to cut and share video clips, automatically highlight themes, and more.

Community Data (incling, Qualzy, Recollective, Fieldnotes)

If you’ve run a diary study, forum, or other community-based research, you can bring that data into CoLoop for seamless analysis. We support direct integrations with several leading platforms, so there’s no need to manually reformat or import files. If your data comes from one of the following tools, uploading is easy:
